When Should the AI Escalate to a Human?

The AI should resolve most issues itself but know when to hand over. Here is how to set clear escalation rules.

An AI receptionist should escalate complaints, sensitive cases and requests that require a contract or quote to a human. Most solutions then collect contact details and promise a callback within a clear timeframe.

A good AI receptionist handles common questions and simple bookings on its own, but some cases should go to a human. Here is how to define that.

Typical escalation cases: Complaints, sensitive topics (health, legal), requests that require a contract or quote, or when the visitor explicitly asks to speak to someone. You list these in your knowledge base or settings so the AI offers "Let me connect you with a colleague" or collects contact details for a callback.

Best practice: Give the AI a clear sentence to use when escalating, for example "One of our team members will get back to you within 24 hours on weekdays." Then follow up through your normal channel (email, phone) so the customer feels heard.
