Knowledge Base Best Practices: How to Get the Right Answers from Your AI

The clearer and more structured your knowledge is, the better the AI will answer. Here is how to write content that works in practice.

The AI only answers as well as the information you feed it: short, fact-filled paragraphs with questions as headings give faster, more accurate answers than long, flowing text.

The AI receptionist answers based on what you feed it. That is why your knowledge base matters a great deal. Here are practical tips.

Write short, fact-filled paragraphs. Instead of long texts, break them up: "Opening hours: Monday to Friday 09–17. Saturday 10–14. Sunday closed." The AI easily finds the right paragraph when someone asks about opening hours.

Use questions as headings. For example "Which payment methods do you accept?" with the answer below. Many visitors ask exactly that question, so the AI matches it directly.

Update when things change. New price, new opening time or new service? Update the knowledge base immediately so the AI does not give outdated information.

Test it yourself. Ask the questions your customers typically ask. If you see an answer is wrong or unclear, adjust the text or add a new point. Iterate every week for the first few months.
