Automating customer service usually pays off once you already have a recurring pattern of the same questions, missed calls or unanswered evening inquiries. The time saved and the leads captured typically outweigh the cost within the first few months.

"Should we automate customer service?" is rarely a straight yes/no question. The answer depends on where you stand today. Here's a simple way to reason through it.

It usually pays off when:

  • The same 10-20 questions come up every week: opening hours, prices, how to book.
  • You miss calls regularly, especially when staff are busy or the office is closed.
  • You're considering hiring purely to keep up with inquiries, not to grow the business in other ways.

It's usually too early if:

  • You get very few customer inquiries overall. The cost is then hard to justify against the savings.
  • Your cases are almost always complex, unique or require deep industry expertise rather than facts from a knowledge base.
  • You don't have basic information (opening hours, prices, services) collected anywhere. You'll need that regardless, but ideally have it in place before automating.

How to calculate it for yourself. Estimate how many hours a week go toward answering the same recurring questions, and how many inquiries come in when no one is there to answer.
