How to Maintain an AI Receptionist Knowledge Base After Launch

A knowledge base is not finished when the chat goes live. Here is a simple way to manage ownership, changes and ongoing quality.

Assign an owner to each important source, treat changes to pricing and opening hours as releases and use real customer questions to find gaps. The knowledge base then becomes an owned workflow, not a one-off piece of copy.

Most problems with an AI receptionist do not begin because the system needs more words. They begin because important information has multiple versions, no owner or no update process when the business changes.

Give every source an owner

Decide who owns opening hours, pricing, services, booking rules and contact routes. The owner does not have to write everything, but they should know which version is current and be able to approve changes. Start with the structure in our knowledge base advice.

Do not collect only links to old documents. Record which source is current and what the AI should do when two sources disagree. Clear priority makes troubleshooting easier.

Treat changes as a release

When a service, price or opening time changes, check both the source and the answer a customer will see. Make the change in Aveexia Knowledge, then ask a few questions about the new information and check that old wording no longer leads people in the wrong direction.

Keep a short change note if it helps: what changed, who approved it and when it should be reviewed. It does not need to become a heavy process. The purpose is to make it possible to understand why an answer changed.

Let customer questions guide the next improvement

Review recurring questions, unanswered questions and cases handed to a person. Ask whether the issue is missing information, an unclear instruction or a case that should be escalated. Do not turn every individual phrasing into a new rule.

If customers ask the same thing in different ways, write a source that answers the core question and use examples to clarify it. That creates better input than a growing list of special cases.

Test after every important change

Keep a small set of control questions to run after changes. Include a few questions that should not be answered automatically. Our pre-launch test plan works just as well as a foundation for ongoing quality checks.

The most important thing is not how often you update. It is that someone owns the task and that real customer questions influence what you improve next.
