Practical guide

How to choose an AI customer service provider

The AI chatbot market is full of vendors that sound similar on the surface. This guide helps you ask the right questions to find the solution that actually fits your business – not just the one with the flashiest demo.

05 stepsA sequence to use before and after launch

The sequence

Work through the important decisions

Keep the scope narrow, test with real questions and expand when the workflow is reliable.

01

Define what you actually need to solve

Is the goal more bookings, fewer missed calls, or relieved customer service? Different vendors are stronger at different things – define the goal before comparing feature lists.

02

Require documented region, transfers and a DPA

GDPR requirements must be documented for Swedish businesses. Ask for a written data processing agreement and confirmation of where data is stored and how any transfers are protected.

03

Test Swedish language understanding on real examples

Many vendors are built primarily for English. Test with your actual customer questions in Swedish, including industry-specific terms, before signing.

04

Compare pricing models against your actual volume

A flat fee can be expensive at low volume; price per conversation can become unpredictable at high volume. Calculate based on your actual volume, not the vendor's example.

05

Check what happens if you want to switch vendors

Ask about notice period, whether you can export your knowledge base, and how long it takes to wind down integrations if you choose to switch in the future.

Review before launch

Common pitfalls

  • 01Choosing based on the demo experience instead of testing with your own knowledge base and your own customers' actual questions.
  • 02Not asking about data storage location until after the contract is signed.
  • 03Comparing price per month without accounting for what's included in each plan (integrations, languages, support).
